Privacy notice

Last updated: October 2026

This notice explains what personal information UK Therapy Guild Counselling Services collects when you use this website or get in touch with us, why we collect it, and what your rights are. We have tried to write it in plain English. If anything is unclear, email us and we will explain.

Who we are

UK Therapy Guild Counselling Services Ltd is the data controller for the information described in this notice. We are registered in England and Wales, company number 16878091. Our registered office is 1 Plex Moss Lane, Halsall, Ormskirk, L39 8SS. We are registered with the Information Commissioner’s Office (ICO), registration number ZC139863.

Questions about this notice, or about your information, go to counselling@uktherapyguild.co.uk.

What this notice covers

This notice covers this website and the ways you can contact us through it. If you go on to have counselling with us, you will be given a counselling agreement before your first session. That agreement explains how your counsellor keeps session notes, how long they are kept, and the limits of confidentiality. It sits alongside this notice.

The information we collect

When you send the enquiry form

  • Your first name, and your last name if you give it
  • Your email address, and your phone number if you give it
  • Who the enquiry is for: yourself, your child, someone else, a school or college, or an organisation, and the organisation’s name where relevant
  • How you would like us to reply, and the best time to reach you
  • Your preferences about sessions, such as online with your camera on or off
  • Anything you choose to write about what you would like help with, and whether you have had counselling before
  • How you heard about us

Anything you write about what you would like help with may include information about your health or wellbeing. That is sensitive information, and we only collect it because you choose to tell us. You do not have to write anything in that box to send the form.

When you book a free consultation

Bookings are made through Calendly. Calendly asks for your name, email address and the phone number you would like us to call. Calendly’s own privacy notice explains how it handles that information: calendly.com/privacy.

When you email us

We keep the emails you send us and our replies, so that we can respond to you and remember what we have already discussed.

Technical information

When the enquiry form is sent, the website keeps a scrambled version of your internet address for up to 24 hours. It is used only to stop the form being flooded by automated submissions. It is not linked to your enquiry and it is deleted automatically.

Our hosting company keeps standard server logs, which include internet addresses and the pages requested, to keep the site secure and running. Those logs are kept for a short period and are not used to identify you.

Why we use your information, and our lawful basis

  • To reply to your enquiry and arrange a first conversation. This is in our legitimate interests as a counselling service, and it is a step you have asked us to take before any agreement is in place.
  • To match you with a suitable counsellor. Once you decide to go ahead, we share what you have told us with the counsellor we match you with, so that they can prepare. We do not pass your details to a counsellor before you agree to go ahead.
  • Health and wellbeing information you choose to share. We rely on your explicit consent. You give it by writing in the form and ticking the consent box, and you can withdraw it at any time by emailing us.
  • Safeguarding and legal duties. Where there is a serious risk of harm to you or to someone else, a safeguarding concern about a child or an adult at risk, or where the law requires it, we may need to share information without your agreement. We rely on our legal obligations and on protecting someone’s vital interests. Your counsellor explains these limits before you start.
  • Keeping the website secure. The technical information above is used in our legitimate interests to protect the site.

We do not use your information for marketing. We do not sell it, and we do not share it with anyone for their own purposes.

Who we share your information with

We use a small number of companies to run the website and handle our email. They act on our instructions and can only use your information to provide their service to us.

  • Hostinger hosts the website and provides our email service. Enquiries from the form are delivered to our mailbox by email.
  • Google: our mailbox is read through Gmail, and the website loads its typefaces from Google Fonts, which means Google receives your internet address when the page loads.
  • Calendly handles bookings for the free consultation.
  • QUIC.cloud delivers the website’s pages and images quickly, and sees internet addresses in doing so.

Some of these companies are based in the United States. Where information leaves the UK, it is protected by safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or an adequacy decision.

Beyond these, we share your information only with the counsellor you are matched with, with your agreement, or where the safeguarding and legal duties above apply.

How long we keep it

  • Enquiries and emails: 12 months after our last contact with you, unless you become a client. If you do, your counselling agreement sets out how your records are kept.
  • The form’s anti-spam marker: up to 24 hours.
  • Calendly bookings: kept by Calendly in line with its own retention periods.

Children and young people

Our counselling is for adults aged 18 and over. For children, we offer play therapy and support in schools, always arranged through a parent, carer or school. We do not knowingly collect information from anyone under 18 through this website. If you are a parent, carer or professional enquiring about a child, please only include what we need to arrange a first conversation.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is wrong
  • ask us to delete your information, in many circumstances
  • ask us to limit how we use it, or object to our using it
  • withdraw your consent at any time, where we rely on consent
  • receive the information you gave us in a form you can pass to someone else

To use any of these rights, email counselling@uktherapyguild.co.uk. We will reply within one month. We may need to check who you are before we act.

If you are not happy

Please tell us first, and we will do our best to put it right. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, or 0303 123 1113.

Keeping your information safe

The website uses encrypted connections (https). Access to our mailbox is limited to the people who need it to respond to you. Our counsellors work to a recognised ethical framework and keep session information confidential within the limits explained before you start.

Changes to this notice

We will update this page when anything changes, and change the date at the top. If a change affects you significantly, we will tell you directly where we can.
